1. Purpose and Scope

This Privacy Policy explains how PM Design Group collects, uses, discloses and protects personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). It applies to information collected via our website, email and phone enquiries, events, recruitment, and our sales and service activities across Australia.

2. Information We Collect

  • Identity and contact: name, job title, employer, postal address, phone, email.

  • Business and project: site/location details, specifications, purchase order/quote details, service history.

  • Communications: enquiries, feedback, support requests, call notes.

  • Website/technical: IP address, device/browser details, pages viewed, referring URLs, cookies and analytics data.

  • Marketing preferences: subscriptions, event registrations, consent/opt-out records.

  • Recruitment: CV/résumé, qualifications, right-to-work information and referee details (if you apply for a role).
    Where practicable, we collect personal information directly from you (e.g., forms, emails, calls, meetings). We may also collect from your employer or colleagues, publicly available sources (e.g., LinkedIn), or trusted service providers where lawful.

3. How We Use Personal Information

  • Respond to enquiries and provide quotes, products and services.

  • Manage projects, orders, deliveries, invoicing and warranty/service support.

  • Operate, secure and improve our website and IT systems (including analytics and debugging).

  • Send service updates and (with consent or as permitted) marketing communications.

  • Manage events, webinars and training.

  • Recruit, assess applications and onboard personnel.

  • Comply with legal, regulatory and insurance obligations and manage risks and disputes.

We only send direct marketing by electronic messaging where permitted by the Spam Act 2003 (Cth) (e.g., with your consent or where an existing business relationship and consent exceptions apply). You may unsubscribe at any time using the link in our messages or by contacting us.

6. Disclosing Personal Information

We may disclose personal information to: related entities and trusted suppliers (IT, cloud hosting, analytics, email/marketing platforms, couriers, field service partners); professional advisers (lawyers, auditors, insurers); your employer or nominated contacts in connection with services we provide; regulators and law enforcement; and potential buyers and their advisers in connection with a business transaction (subject to confidentiality). We require third-party service providers to handle personal information in accordance with the APPs and with appropriate security.

7. Overseas Disclosures

Our cloud and IT service providers may store or process information in data centres located outside Australia. Where we disclose personal information overseas, we will take reasonable steps to ensure recipients protect it in a manner consistent with the APPs.

8. Security

We use reasonable technical and organisational measures to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. No method is completely secure; please notify us immediately if you suspect misuse or a breach.

9. Retention and De-identification

We keep personal information only for as long as needed for the purposes described or as required by law, then take reasonable steps to destroy or de-identify it.

10. Access and Correction (APP 12/13)

You may request access to the personal information we hold about you, and request corrections if it is inaccurate, out of date, incomplete, irrelevant or misleading. We will respond within a reasonable time and give reasons if we cannot comply (for example, where a legal exemption applies).

11. Children

Our website and services are primarily directed to business customers. We do not knowingly collect personal information from children. If you believe a child has provided personal information, please contact us so we can take appropriate steps.

12. Complaints

If you have a privacy concern or wish to make a complaint, please contact us using the details below with full particulars. We will acknowledge receipt and aim to resolve your complaint promptly and fairly.
